Three years into the accreditation cycle, one core program drops its traditional "Foundations I" and "Foundations II" courses and replaces them with a single integrated three-term sequence. Another program adds a new data analytics elective. A third program splits "Applied Methods" into two courses after the curriculum committee decides the content has grown too dense for one term.
None of these changes are controversial. They are normal curriculum evolution. But six months later, when the coordinator opens the evidence map to prepare for the interim report, the map still shows the old course codes. The indicator mappings point to courses that no longer exist. The evidence links are broken.
Curriculum changes between accreditation visits are inevitable. The question is not whether your program will change — it is whether your evidence map will change with it.
Here is how to build a curriculum change management process that keeps your evidence map current, your indicator coverage intact, and your visiting team confident that the program they are reviewing is the program that actually exists.
Why Curriculum Changes Matter for Accreditation
Accreditors evaluate your program against a defined set of attributes, each with specific indicators. The connection between those indicators and your curriculum is the evidence map. When a course changes, every mapping that touches that course becomes stale.
A course rename is the simplest change — the course still exists, the content is the same, but the code or title has changed. The evidence map needs one update. A course merge is harder: two courses that each mapped to different indicators are now one course. Which indicators does the new course address? Does it address them at the same coverage level? A course deletion is the hardest: if the deleted course was the only one providing Mastery-level coverage for an indicator, you now have a gap.
The visiting team will cross-reference your self-study narrative against the current curriculum document. If the narrative describes evidence from a course that was retired two years ago, the team will flag the mismatch. Not because the program is failing — because the documentation has not kept pace with reality.

The Four Types of Curriculum Changes
Not all curriculum changes have the same accreditation impact. Understanding the four types helps you prioritize which changes need immediate evidence map updates and which can wait for the annual review.

The rule is simple: any change that affects which courses cover which indicators needs an evidence map update. A rename that does not change the underlying content or indicator coverage can wait. A merge, split, addition, or deletion cannot.
Step-by-Step: Managing a Curriculum Change
Step 1: Capture the Change
Every curriculum change should be logged in a single place — a curriculum change log. This is not a formal document for the visiting team. It is your working record. It answers the question "what changed since the last evidence map update?" without requiring you to compare two versions of the curriculum side by side.
The change log should capture:
- Date of change — when the change was approved by the curriculum committee
- Type of change — rename, merge, split, addition, deletion
- Old course code(s) and title(s)
- New course code(s) and title(s)
- Effective term — when the change takes effect
- Proposed indicator impact — which mappings are affected
Step 2: Assess the Indicator Impact
For every change, identify which indicators are affected. Open the current evidence map. Find every cell that references the changed course. For each cell, determine:
- Does the new course still cover this indicator?
- Is the coverage level (I/R/M) still correct?
- Is the linked evidence still valid?
For a course deletion, this is critical. If the deleted course was the only Mastery-level course for an indicator, you have an immediate gap. You need to either redistribute that Mastery coverage to another course or add a new course that provides it.
Step 3: Update the Evidence Map
Once the indicator impact is assessed, update the evidence map. Replace old course codes with new ones. Add new mappings for added courses. Remove mappings for deleted courses. Adjust coverage levels if the change affects the I-R-M progression.
For merged courses, you may need to consolidate two sets of evidence into one course entry. For split courses, you may need to divide the evidence between two new entries. The key principle: the evidence map must reflect what is actually taught, not what was taught before the change.
If you are using a connected evidence map system (rather than a spreadsheet), these updates propagate automatically to any reports, dashboards, or gap analyses that reference the changed courses. If you are using a spreadsheet, you need to manually check every downstream document that references the old course codes.
Step 4: Validate with the Instructor
The coordinator does not have the authority to decide what a course teaches. Only the instructor does. After updating the mappings, send the affected course entry to the instructor for validation. Specifically ask:
- Does this course still address the listed indicators?
- Is the coverage level (I/R/M) still accurate?
- Is the linked evidence current and representative of what students actually produce?
This is the same validation step used in a full curriculum review. It applies equally to mid-cycle changes. The difference is scope: you are validating one course, not forty-five.
Step 5: Document for the Self-Study
The self-study report should reflect the current curriculum, not the curriculum that existed at the last visit. When you write the self-study narrative, reference the current course codes and titles. If a significant change occurred during the cycle, note it briefly:
"During the current accreditation cycle, the program replaced two separate foundational courses (Course 280 and Course 281) with an integrated three-term sequence (Course 280, Course 380, Course 480) to provide deeper coverage of the underlying topic area. Indicator 3 (problem analysis) is now assessed at the Mastery level in Course 480, replacing the previous Mastery assessment in Course 281."
This one paragraph tells the visiting team that the change was intentional, the evidence was updated, and the indicator coverage remains intact. Without it, the team sees a course code in the self-study that does not match the current curriculum document and assumes the documentation is out of date.
The Curriculum Change Log Template

Keep this log in the same system as your evidence map. If your evidence map is connected, the log can auto-populate from map update history. If it is a spreadsheet, maintain the log as a separate tab that you reference during the annual curriculum review.
The Annual Curriculum Change Review
Individual changes should be handled as they occur. But once per year — typically in the fall, when the updated curriculum document is published — you should run a complete curriculum change review. This is a lightweight process that takes one to two hours:
- Pull the current curriculum document from the academic office or program repository.
- Compare it against the evidence map course list. Flag every course that appears in one but not the other.
- Check course codes and titles for renames that were not yet updated in the map.
- Review the change log for any changes that were assessed but not yet implemented in the map.
- Run the coverage analysis on the updated map to confirm no indicators lost Mastery-level coverage.
This annual review catches the low-urgency changes (renames, minor content shifts) that did not require immediate action but should be reflected in the evidence map before the next self-study or interim report.

Communicating Changes to Faculty and the Curriculum Committee
Curriculum changes are approved by the curriculum committee. The evidence map update is the coordinator's responsibility. Bridging that gap requires communication.
After each curriculum committee meeting, send a brief summary to the committee chair and the affected instructors:
"The committee approved three curriculum changes at today's meeting. I have assessed the accreditation impact for each: the applied-analysis split requires updating Indicator 3.2 Mastery coverage to Course 450; the new elective adds Introduction-level coverage for Indicator 5.1; the design studio rename has no indicator impact. I will update the evidence map before the fall term and circulate the updated mappings for instructor validation."
This one paragraph does three things: it confirms the coordinator is tracking changes, it shows the accreditation impact has been assessed, and it sets a timeline for the evidence map update. Faculty who receive this communication are less likely to surprise the coordinator with untracked changes later.

What Happens When You Do Not Track Changes
The pattern is predictable at programs that do not track curriculum changes:
- False gaps. The evidence map shows Indicator 3.2 is covered in Course 281. Course 281 was retired two years ago. The gap analysis flags Indicator 3.2 as uncovered. The coordinator spends a week tracking down the replacement course and updating the map — work that could have been done in ten minutes when the change was approved.
- Narrative mismatch. The self-study narrative describes evidence from a course that no longer exists. The visiting team cross-references and finds the discrepancy. The program is not at fault — the documentation simply has not been updated.
- Evidence orphaning. A course is split into two. The evidence that was mapped to the original course is now mapped to neither. It sits in the system, unlinked, unusable. The coordinator has to reconstruct the mapping from scratch during self-study preparation.
- Faculty confusion. An instructor is asked to provide evidence for a course they no longer teach. The course was renamed or merged, but nobody told them the evidence map still references the old code.
Every one of these problems is preventable with a change log, a process for assessing indicator impact, and an annual review cadence.
Where to Start
If you do not have a curriculum change log, create one today. It does not need to be elaborate — a spreadsheet with six columns is enough. Start logging changes from the last curriculum committee meeting forward.
If you already track changes but have not updated the evidence map since the last visit, run the annual review now. Compare the current curriculum document against the evidence map. Flag every mismatch. Prioritize deletions and merges — those are the changes most likely to create gaps.
If you are in the 90-day countdown to a visiting team and the evidence map has not been updated for curriculum changes, that is your first action item. The self-study narrative cannot be written accurately until the map reflects the current curriculum. Everything downstream — gap analysis, evidence compilation, faculty briefing — depends on it.
